Telephone
You will be assigned your own telephone number, any calls to which will be answered on reference to your name. Calls can be put through to your mobile or home telephone number where appropriate. In the event that you are unavailable, Ex-ecutive Support will take down a message and pass it on to you at a later stage. Such actions as ensue from telephone calls received are duly completed. Once daily, or with a greater frequency if you prefer, we provide you with comprehensive feedback on such telephone calls as we have taken on your behalf and such actions as have ensued.
You will be assigned your own PO box number. Your mail is collected daily. Any urgent matters are immediately forwarded, either by fax or by E-mail, and you are contacted to discuss any action to be taken. In principle all other mail will be forwarded to your home address once a week. Correspondence is taken care of using your own stationery (to be supplied by yourself or, if you prefer, to be designed and printed up through us for your account); the substance is determined in mutual consultation (dictated by yourself either on tape or in person, or drafted in writing either by you or by us).
Diary management
When someone calls to schedule an appointment with you which we know you are keen to attend, we will pencil in a date and time to be submitted for your approval and confirmed or changed, as the case may be. Any appointments you yourself make should preferably be communicated to us at the earliest opportunity, for entry into your diary.
Relationship management and filing
We ensure that your relationship management records and back files are kept up to date. As for your files, those relating to the current calendar year can be stored on Ex-ecutive Support premises; on conclusion of the calendar year the relevant documentation is returned to you.
Travel
You notify us of when you have to be where, and we make the travel arrangements through a reputable (business) travel agency. We will provide you with a comprehensive itinerary including such appointments as have been scheduled during your trip, as well as the various locations and contacts. We ensure that your tickets are available at the airport, or are delivered well in advance to your home address if you prefer. The invoice is forwarded to Ex-ecutive Support and paid by yourself or, on the basis of a power of attorney, by us.
